Protecting your private information is our priority. This Statement of Privacy applies to Matanzas Bookkeeping, LLC and governs data collection and usage. For the purposes of this Privacy Policy, unless otherwise noted, all references to Matanzas Bookkeeping, LLC include Matanzas Bookkeeping. The Matanzas Bookkeeping website is a lead generating site. By using the Matanzas Bookkeeping website, you consent to the data practices described in this statement.
Collection of your Personal Information
In order to better provide you with products and services offered, Matanzas Bookkeeping may collect personally identifiable information, such as your:

– E-mail Address
– Phone Number
We do not collect any personal information about you unless you voluntarily provide it to us. However, you may be required to provide certain personal information to us when you elect to use certain products or services. These may include: (a) registering for an account; (b) entering a sweepstakes or contest sponsored by us or one of our partners; (c) signing up for special offers from selected third parties; (d) sending us an email message; (e) submitting your credit card or other payment information when ordering and purchasing products and services. To wit, we will use your information for, but not limited to, communicating with you in relation to services and/or products you have requested from us. We also may gather additional personal or non-personal information in the future.
Use of your Personal Information
Matanzas Bookkeeping collects and uses your personal information to operate and deliver the services you have requested. Matanzas Bookkeeping may also use your personally identifiable information to inform you of other products or services available from Matanzas Bookkeeping and its affiliates.
Use of QuickBooks Online Data
In the course of providing bookkeeping services, Matanzas Bookkeeping LLC connects to QuickBooks Online (a service provided by Intuit Inc.) on behalf of the firm itself and clients who have engaged us under a signed engagement letter. Connections are authorized using OAuth 2.0 and are limited to a read-only scope of the QuickBooks Online Accounting API.
What we access. When a connection is authorized, we may read company profile information, chart of accounts, customers, vendors, items, transactions (invoices, bills, journal entries, payments), and financial reports (such as profit and loss, balance sheet, and aging summaries) from the connected company’s QuickBooks Online file. We do not write, modify, or delete any data in the connected file.
How we use it. Data retrieved from QuickBooks Online is used solely to perform the bookkeeping services described in the applicable engagement letter — including, for example, reviewing transactions, preparing reports, reconciling accounts, and answering questions about the books. Data is processed in memory at the time of the request and is not retained in a separate database.
Authentication credentials. OAuth tokens that authorize our access to a connected QuickBooks Online file are stored on encrypted, firm-controlled infrastructure. Tokens are rotated automatically in accordance with Intuit’s token policies, and are immediately invalidated if a connection is revoked from the QuickBooks Online side.
AI-assisted processing. To assist the firm principal in reviewing and reasoning about bookkeeping data, requests to QuickBooks Online may be initiated by, and responses presented through, an AI assistant operated by the firm. The AI assistant transmits the relevant portion of QuickBooks Online data to a Large Language Model provider (currently Anthropic, PBC, and Inc.) for processing under that provider’s enterprise API terms. Under those terms, transmitted data is not used to train the provider’s models and is not retained by the provider beyond the immediate request. The AI assistant operates strictly within the read-only scope described above and cannot make changes to any QuickBooks Online file.
Sub-processors. The following third parties may process QuickBooks Online–derived data on our behalf in the course of providing bookkeeping services:
- Intuit Inc. — operator of QuickBooks Online (the data source itself).
- Anthropic, PBC — provider of the Claude family of Large Language Models, under an enterprise API agreement with zero-retention and no-training terms.
- OpenAI, OpCo, LLC — provider of GPT-family models, used occasionally under its commercial API terms with no-training-by-default.
A current list of sub-processors will be maintained and made available on request.
Your rights regarding QuickBooks Online data. If you are a client and you wish to revoke our access to your QuickBooks Online file at any time, you may do so directly from QuickBooks Online (My Apps → Disconnect) or by contacting us. Revocation immediately and permanently invalidates our OAuth tokens for your file. You may also request that we delete any locally cached information derived from your QuickBooks Online data; we will comply within a reasonable period, subject to any record-retention obligations imposed by applicable law.
Intuit’s own privacy practices. Our use of QuickBooks Online data is governed by this privacy policy and our engagement letter with you. Intuit’s own handling of QuickBooks Online data (including the data we access on your behalf) is governed by Intuit’s privacy policy, available at https://www.intuit.com/privacy/statement/.
Sharing Information with Third Parties
Matanzas Bookkeeping does not sell, rent or lease its customer lists to third parties. Matanzas Bookkeeping may share data with trusted partners to help perform statistical analysis, send you email or postal mail, provide customer support, or arrange for deliveries. All such third parties are prohibited from using your personal information except to provide these services to Matanzas Bookkeeping, and they are required to maintain the confidentiality of your information. Matanzas Bookkeeping may disclose your personal information, without notice, if required to do so by law or in the good faith belief that such action is necessary to: (a) conform to the edicts of the law or comply with legal process served on Matanzas Bookkeeping or the site; (b) protect and defend the rights or property of Matanzas Bookkeeping; and/or (c) act under exigent circumstances to protect the personal safety of users of Matanzas Bookkeeping, or the public.
Tracking User Behavior
Matanzas Bookkeeping may keep track of the websites and pages our users visit within Matanzas Bookkeeping, in order to determine what Matanzas Bookkeeping services are the most popular. This data is used to deliver customized content and advertising within Matanzas Bookkeeping to customers whose behavior indicates that they are interested in a particular subject area.

Right to Deletion

• Engage in public or peer-reviewed scientific, historical, or statistical research in the public interest that adheres to all other applicable ethics and privacy laws, when our deletion of the information is likely to render impossible or seriously impair the achievement of such research, provided we have obtained your informed consent;
• Enable solely internal uses that are reasonably aligned with your expectations based on your relationship with us;

Retention
Information collected in the course of providing bookkeeping services is retained for the duration of our engagement and for any additional period required by applicable record-retention laws (typically seven years for tax-related records).
Security
Information is stored on firm-controlled infrastructure protected by full-disk encryption, multi-factor authentication, and a password manager for credential storage. Access is limited to the firm principal.
Children Under Thirteen
Matanzas Bookkeeping does not knowingly collect personally identifiable information from children under the age of thirteen. If you are under the age of thirteen, you must ask your parent or guardian for permission to use this website.
E-mail Communications
From time to time, Matanzas Bookkeeping may contact you via email for the purpose of providing announcements, promotional offers, alerts, confirmations, surveys, and/or other general communication.
